This Facilities Associate will help to manage the front desk as well as maintain the office facilities on a daily basis. They must have the ability to prioritize work among multiple tasks in a deadline driven environment, while interacting with varying seniority levels. Other duties:- Ability to work independently and know when to seek assistance- Ability to work productively in Microsoft office and similar applications- Demonstrated strength in oral and written communication skills- Position is currently 100% onsiteDaily Duties: Overall Office Appearance \u0026 Organization - Need attention to detail to have the office appearance professional, clean \u0026 organized at all times- Tidy all areas that are cluttered, disorganized or contain unnecessary/out-of-place items, boxes or trash- Front reception desk should remain clean \u0026 organizedStock Room: - Check the stock room daily to identify items where our target inventory is low by approx. half \u0026 prepare the next order- Goal is to be proactive, rather than reactive, to place orders before items are completely out or almost completely out All Kitchens: - Tidy any mess- Stock Coffee- Stock Condiments/paper products/cups- Stock Soda, Juices (no ordering water bottles please, per our policy decision last year)- Stock Snacks All Printers:- Printer paper - Printer CartridgeAll Office Supply locations- Stock supplies- Tidy the area \u0026 organizeConference Rooms:- Keep tidy in between meetings or whenever possible when the room is not occupied- Engage IT immediately if technology issues ariseRESPONSIBILITIES:Assist Sr. Facilities Manager with administrative supportProvides front reception desk support for guests, visitors and employeesAssist in oversight and coordination of janitorial, food service, coffee services, badging, fitness center waiversManagement of stocking of pantry/office suppliesCoordination of incoming/outgoing mailIssue office announcements via electronic distribution listsAssists with dispatching of maintenance service requests to LandlordOrganize and maintain filing system for all reports, vendor invoices, proposals, etc.Maintain current list of vendor contacts, emergency contact info, property informationCoordination of catering/lunch program schedulingProvides support for meetings and conference room reservations, as needed and directedExpected to provide monthly on-site support for Chantilly, VA officeAny and all other duties and tasks as assignedWe are a company committed to creating inclusive environments where people can bring their full, authentic selves to work every day.
