Position Summary
We are seeking a motivated and organized Office Assistant to support daily office operations, administrative functions, and accounting processes. This individual will serve as the front-facing point of contact for the office while helping maintain accurate records, organized documentation, vendor compliance, and overall office efficiency. The ideal candidate is a proactive self-starter who enjoys wearing multiple hats and supporting a collaborative team environment.
Responsibilities
• Serve as the primary point of contact for office staff, visitors, and leadership.
• Maintain office supplies, inventory, storage areas, and equipment.
• Assist with onboarding activities and office setup for new hires.
• Support AP/AR functions and provide administrative support within QuickBooks.
• Maintain project files, SharePoint folders, and electronic records.
• Assist with subcontractor compliance documentation, vendor paperwork, and purchase orders.
• Coordinate meetings, office events, and training logistics.
• Support vendor relationships, office ordering, and invoice tracking.
Provide light marketing and social media support as needed.

Required Skills & Experience
Must-Haves
• 1+ years of administrative, office support, or office assistant experience.
• Experience supporting office operations and managing documentation/files.
• Proficiency with Microsoft Office Suite, including Excel and Outlook.
• Strong organizational, multitasking, and communication skills.
• Experience with electronic filing systems and document management.
Self-starter with a proactive, detail-oriented mindset.
Nice to Have Skills & Experience
Nice-to-Haves
• Experience with QuickBooks.
• Experience using SharePoint.
• Basic understanding of AP/AR or accounting support functions.
• Exposure to vendor management, subcontractor compliance, or project coordination.
• Experience supporting marketing, social media, or company events.
Background in construction, engineering, or professional services environments.
