Job Description

The Data Entry Clerk – Records Re-Indexing is responsible for reviewing, organizing, and re-indexing legal and bankers’ boxes. This role involves interpreting documents, applying the company’s retention schedule, and accurately capturing key information in Excel for upload into SharePoint. The position supports compliance, data accuracy, and efficient records management operations

• Review and re-index contents of legal and bankers’ boxes according to company standards
• Read and interpret documents to identify key metadata (record type, date, department, retention category)
• Apply the company’s Records Retention Schedule to classify documents appropriately
• Accurately input indexing information into Excel spreadsheets
• Upload completed spreadsheets and supporting files into SharePoint document libraries
• Validate and verify data for completeness, accuracy, and consistency
• Maintain proper file naming conventions and structured folder organization
• Identify duplicate, obsolete, or non-record material based on retention guidelines
• Ensure all records are handled in accordance with data classification, privacy, and compliance policies
• Collaborate with internal teams to resolve discrepancies

Required Skills & Experience

• High school diploma or equivalent (Associate degree preferred)
• Experience in data entry, records management, or administrative work
• Proficiency in Microsoft 365 (Excel, SharePoint, Outlook, Teams)
• Experience uploading and managing documents in SharePoint
• Ability to read and interpret legal, financial, or operational documents
• Familiarity with records retention schedules or classification standards (preferred)
• Strong typing skills with high accuracy
• Excellent attention to detail and organizational skills
• Ability to handle confidential and sensitive information
• Must be able to safely lift and move boxes weighing between 20–40 pounds
• Must be able to bend, lift, carry, walk, and sit for extended periods
• Must be able to perform repetitive movements for up to 8 hours per day
