Job Description
A newly launching, high-touch concierge / membership-based primary care clinic in Charlottesville, VA is seeking a Practice Manager to build and lead operations from the ground up. This is a highly visible, hands-on leadership role partnering directly with the physician founders to establish workflows, hire and develop staff, and deliver a white-glove patient experience. The ideal candidate thrives in a start-up environment, can create structure where no playbook exists, and has the influence and communication style to align providers and staff on next steps.
Key Responsibilities
Operational Leadership
• Lead day-to-day clinic operations to ensure efficiency, professionalism, and an exceptional patient experience
• Build foundational processes, workflows, policies, and “how we operate” standards for a start-up practice environment
• Coordinate physician scheduling and optimize patient flow from check-in to follow-up
• Oversee vendor management across EMR/practice management systems, billing partners, labs, IT, facilities, and supplies
• Support facility readiness, equipment procurement, and supply ordering to ensure launch and ongoing operations run smoothly
• Ensure strong compliance across HIPAA/OSHA and applicable healthcare regulations
Human Resources & Team Leadership
• Own staffing: recruit, hire, onboard, train, and supervise the clinical support team (4–5 staff members)
• Establish performance expectations, coaching cadence, and evaluations; address employee relations with discretion and professionalism
• Manage HR fundamentals including documentation, benefits coordination support, payroll coordination, and policies
• Set up key operational items tied to start-up needs (e.g., malpractice insurance coordination and practice readiness items)
Financial & Administrative Oversight
• Oversee budgets, operating expenses, and general financial performance
• Support revenue cycle processes and membership billing
• Track KPIs, help create reporting rhythm, and partner with physician founders on forecasting/planning
Patient Experience & Growth
• Serve as a primary non-clinical point of contact for patients; help onboard and orient new members
• Ensure concierge-level service standards are upheld consistently
Support community outreach and local growth initiatives tied to membership retention and acquisition

Required Skills & Experience
• 6–9+ years of healthcare practice management experience
• Demonstrated experience managing clinical teams (hiring, onboarding, coaching, performance management)
• Strong working knowledge of HR management and healthcare compliance (HIPAA/OSHA)
• Experience overseeing budgets and financial performance
• Prior leadership background (e.g., practice manager, clinical supervisor, charge nurse, or informal/team leadership roles)
• Proficiency with EMR systems and practice management software
• Bachelor’s degree required (healthcare administration or business background preferred)
Nice to Have Skills & Experience
• Concierge medicine or private practice experience strongly preferred
• Comfort building operations in a “blank slate” environment—creating playbooks and systems from scratch
