Job Description

Insight Global is hiring for a Office Manager for one of our healthcare clinics in Charlottesville, VA. As a full-time manager, you will be expected to work Monday-Friday (8:00AM-5PM). The Office Manager plays a critical role in driving patient engagement, managing administrative workflows, and supporting the clinic’s business objectives. This role requires strong organizational skills, a customer-first mindset, and a deep understanding of healthcare billing and scheduling practices.

Responsibilities Include:
· Fill the monthly schedule with up to 44 FNA (First Needs Assessment) appointments and additional support visits
· Engage patients through phone calls, letters, emails, and community outreach
· Coordinate referrals from Infina, primary care physicians, and other sources
· Answer inbound calls and assist with new patient consultations
· Track and report KPI's like billed services, collections & profitability, lost opportunities, and marketing expenses, etc.
· Support daily closing reports and monitor metrics like HAEs, third-party referrals, and closure rates
· Order and maintain demo, stock, and patient hearing aid inventory
· Maintain cleanliness and functionality of the clinic
· Ensure signage, refreshments, and furniture are well-kept and welcoming
· Request resources and support from the Business Director as needed

Performance Goals:
• Minimum of 22 billed devices and associated services per provider per month
• Target productivity of 40 devices per provider per month

Required Skills & Experience

Must Haves:
· Experience in a supervisory or managerial role - strong leadership skills
· Understanding and comfortability with business acumen - being able to drive a business and overall operations of a facility
· Excellent communication and organizational skills
· Ability to work independently and also drive a functional team to perform daily tasks
· Proficiency in tracking financial metrics and managing patient outreach
· Any experience in a healthcare setting
