Job Description

Insight Global is seeking a Bilingual Front Desk Receptionist for one of our clients in the construction industry in Dumfries, VA. The Bilingual Front Desk Receptionist will be the first point of contact for this company. The main duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. The ideal candidate has a bubbly personality, with ability to interact professionally with employees, visitors and delivery personnel from diverse backgrounds. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations.

This role will be onsite Monday- Friday from 8:30-5:00PM EST with a 30-minute unpaid lunch break.

Other duties include:

Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Coordinate general office events (e.g., happy hours, birthday lunches, etc.)
Occasionally go to the post office to buy stamps or drop off documents.
Order business cards and apparel for new employees.
Ensure kitchen is fully stocked.
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Order front office supplies and keep inventory of stock
Update calendars and schedule meetings
Arrange travel and accommodations, and prepare vouchers
Keep updated records of office expenses and costs
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Required Skills & Experience

Bilingual in Spanish

1+ year of experience as a front desk receptionist, office admin, or administrative assistant

Tech savvy- ability to work with office equipment (e.g., copy/printer/scanner)

Proficiency in Microsoft Office Suite

Strong written and verbal communication skills

Nice to Have Skills & Experience

Experience working in the construction or engineering industry

Certification in Office Management

Experience creating and posting marketing content on Facebook, Instagram, LinkedIn, etc.
