Position Summary
Must be a highly organized and detail-oriented person who will assist with diverse projects and provide administrative support within a close team environment. The position requires strong written, communication, and software skills to effectively interact with customers, vendors, and employees. Offers general administrative support to executives, directors, and managers by organizing files, drafting, proofreading, and finalizing documents and letters, as well as handling other administrative tasks as needed. Quickly gathers and interprets data to produce written materials and relevant visuals to draft, edit, and enhance presentations, proposals, and other administrative or marketing outputs. Promotes our business services and products by coordinating marketing strategies and conveying the company's messaging and story to target audiences. Develops and supplies content for marketing brochures, articles, and newsletters for digital and print publication. Must be proficient in writing unique messages, editing graphics/art, and creating relevant content for blogs and posts to give customers and employees insight into AVMAC’s progress and capabilities. Identifies branding and marketing issues and proposes solutions to the executive team.
Reports To
Proposal Manager KEY RESPONSIBILITIES · Present a polite, personable, and professional demeanor via phone, company social media channels, e-mail, and mail.
o Primary for all press releases/social media posts.
o Primary for business PR-related communication.
o AVMAC representative for business conferences, awards presentations, etc.
o Develop and execute press releases following significant company events.
· Properly answer and route incoming phone calls.
· Greet and support visitors.
· Provide corporate staff with administrative support, ensuring efficient office operation.
· Perform routine administrative duties such as filing, copying, binding, scanning, maintaining digital and physical filing systems, etc.
· Compose, prepare, and finalize letters and assorted documents for Executive review. · Prepare and provide agendas, schedules, and coordinate meetings, such as the Weekly Sync and contract Kick-Offs, and social events as required.
o Schedule and coordinate AVMAC conference rooms and meetings.
· Monitor and track calendar appointments for Executives, Directors, and Managers.
· Provide relevant AVMAC information when responding to queries and requests.
· Order office/breakroom supplies, as requested.
· Collect and distribute daily mail.
· Properly construct, write, and edit documents such as memos, letters, instructions, directives, emails, marketing and capability documents, reports, and other correspondence.
· Create proposal graphics, such as tables, organizational charts, cover page photos, etc. · Be highly creative and identify target audiences in devising, drafting, and updating digital content that engages, informs, and motivates customers and employees through our social media presence (website, Facebook, Instagram, and LinkedIn).
· Provide marketing research and outreach.

Required Skills & Experience
JOB REQUIREMENTS
· Be highly proficient in Adobe Creative Suite, including Acrobat, Photoshop, Premiere Pro, InDesign, Illustrator, or industry standard software alternatives, Canva, and Microsoft Office Suite and related software.
· Basic computer application literacy, including social media and web page development.
· Excellent organizational skills and attention to detail.
· Excellent interpersonal and customer service skills.
· Excellent verbal and written administrative and communication skills.
· Be process and detailed oriented with the ability to find creative solutions and solve problems.
EDUCATION · Minimum of an Associate’s Degree in Business, Communications Studies, or Marketing, or 3 years’ experience in administrative and marketing tasks and functions.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment and standard business software, including MS Office Suite and associated tools.
Physical Demands
The physical requirements outlined here are typical for someone to effectively perform the essential duties of this position. The employee may occasionally need to stand, walk, sit, use hands to type, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; and talk or hear. Occasionally, the employee must lift or move office supplies and products weighing up to 15 pounds.
