Job Description

Insight Global is seeking a highly motivated Executive Administrator to support multiple facets of daily business operations for one of their top OEM customers. In addition to traditional executive support, this role includes responsibilities tied to our physical site location—such as managing onsite workflows for visitors, supporting visiting teams, coordinating conference room readiness, assessing safety and environmental needs, and providing general site support.

This role requires experience interacting with, communicating with, and adapting for various populations spanning multiple time zones. The ideal candidate is comfortable operating in a connected, technology-rich environment and demonstrates exemplary time management, organizational skills, and multi-tasking.

What You Will Do:
• Manage executives’ calendars, schedule internal and external meetings, and set up video and audio conferencing when required
• Provide effective and seamless calendar management, resolving conflicts efficiently
• Maintain awareness of executives’ business activities; anticipate needs related to meetings and events and proactively support stakeholders
• Represent executives professionally to senior leaders across and outside the organization
• Drive team communications and follow-up correspondence professionally
• Coordinate domestic and international travel and related logistics
• Process expense and mileage reports accurately and submit them in a timely manner
• Prepare for meetings, including booking conference rooms, coordinating with catering, and prioritizing associated tasks
• Maintain accurate and up-to-date organization charts
• Participate in special projects and perform other duties as assigned

Site-Based & Visitor Support Responsibilities:
• Manage workflows for onsite visitors, ensuring seamless arrival processes and addressing day-of needs
• Support visiting teams by ensuring they have the materials, workspace, and resources required for success
• Book and manage conference room readiness, including technology, layouts, and supplies
• Assess and coordinate needs from a safety and environmental readiness lens, escalating issues appropriately
• Provide ad‑hoc site support such as routing invoices received through the general site contact number and helping maintain overall operational smoothness

Pay range for this role is 40-60/hr based on qualifications and years of experience

Required Skills & Experience
