Job Description

A fast‑paced small business in the federal government contracting sector is seeking a highly organized and proactive Executive Assistant to support the CEO. This role requires exceptional discretion, strong communication skills, and the ability to provide high‑level administrative and personal support in a dynamic environment.
The Executive Assistant serves as a trusted gatekeeper for the CEO, managing calendars, correspondence, action items, and deadlines while representing the authority and priorities of the executive office. The ideal candidate excels at prioritization and logistics, anticipates needs, and performs well under pressure. Prior experience supporting senior executives, particularly in a corporate or government contracting environment, is preferred.
This position requires the ability to manage multiple priorities and deadlines, interact professionally with senior leaders, clients, industry partners, and government officials, and exercise sound judgment and protocol awareness. Strong writing, proofreading, basic analytical skills, technical proficiency with modern office tools, attention to detail, and a polished professional presence are essential.

Required Skills & Experience

Key Responsibilities
Executive Support

Manage the CEO’s dynamic and highly complex calendar, proactively prioritizing meetings, travel, and commitments to maximize efficiency.
Screen, prioritize, and respond to emails and communications on behalf of the CEO, ensuring time‑sensitive and VIP correspondence is immediately identified and escalated.
Coordinate and maintain the Executive’s calendar, including scheduling and confirming internal and external meetings, managing agendas, participants, locations, and follow‑ups, and promptly communicating any changes.
Plan and execute all Executive travel arrangements, including airfare, lodging, ground transportation, and dining reservations. Prepare comprehensive travel itineraries detailing schedules, meeting locations, security or access requirements, and key points of contact with full contact information.
Coordinate meetings, events, and conferences involving the Executive by managing logistics, facilities, technology support, invitations, participant coordination, read‑ahead materials, and associated budgets.
Prepare and maintain official meeting documentation, including agendas, notices, minutes, and resolutions for corporate meetings.
Serve as custodian of corporate records and confidential documents.
Assist the Executive with drafting and reviewing confidential correspondence, reports, and complex documentation.
Develop briefing materials, presentations, memoranda, and reports as required.

Personal Assistance

Provide high‑level personal and concierge‑style support, including personal travel coordination, errands, household logistics, and other ad hoc needs.
Coordinate family schedules and personal appointments as directed by the CEO.
Handle all personal and professional matters with the highest level of confidentiality and discretion.

Operational & Administrative Support

Track action items, deadlines, and priorities across multiple business and personal initiatives to ensure timely execution.
Maintain highly organized digital and physical filing systems for both business and personal records.
Support expense reporting and light bookkeeping activities, including collecting and submitting receipts to the accounting team for processing.

Project & Task Management

Monitor progress on delegated tasks and initiatives, following up as needed to ensure completion.
Conduct research, synthesize findings, and present clear, actionable insights to support executive decision‑making.
Coordinate logistics for special projects, executive offsites, and business events.

Qualifications
Minimum of 5+ years of experience as an Executive Assistant, preferably supporting a C‑level executive or business owner.
Prior experience or exposure to the government contracting environment strongly preferred.
Exceptional organizational skills with meticulous attention to detail.
High emotional intelligence, professionalism, and sound judgment.
Strong written and verbal communication skills.
Proven ability to manage competing priorities and perform effectively in fast‑paced, high‑pressure environments.
Technologically proficient, with strong command of Microsoft Office, Google Workspace, and virtual collaboration tools.
Highly self‑directed, proactive, and able to anticipate needs and think several steps ahead.
