Job Description

This is a temporary contract position anticipating 12 weeks of work with the potential for extension based on performance.

This position is willing to pay an hourly rate of $20-$30/HR depending on experience and qualifications.

The coordinator works closely with the client’s Travel Office and books all air and land travel as well as hotel reservations through the Concur Travel system; searches, gathers and provides relevant travel information on official business travel. Coordinates expenses and reimbursement for travel.

• Serve as the primary point of contact between staff and our client’s Travel Office as needed.
• Develop and maintain a step‑by‑step guide for requesting, booking, and expensing travel in accordance with our client’s travel policies and practices.
• Identify and secure the most cost‑effective travel and lodging options using Concur or in coordination with our client’s Travel Office, ensuring full policy compliance.
• Advise staff on flight availability, connections, and accommodations; coordinate or book all air, ground, and hotel reservations in Concur.
• Create, coordinate, and distribute detailed travel itineraries; verify accuracy of tickets, hotel reservations, and related details prior to release.
• Review travel agency documentation for accuracy and proper billing; investigate and resolve discrepancies with the travel agency, staff/consultants, and finance.
• Ensure all travel expenses are accurately assigned to the appropriate charge code categories.
• Maintain organized filing systems for travel‑ and conference‑related documentation and perform general administrative support as needed.
• Perform additional duties as assigned.

Required Skills & Experience

• High school diploma or equivalent
• Five or more years administrative experience, including travel coordination and some accounting experience
• Working knowledge of FAR, CAS and DFARS and other applicable government regulations
• Concur experience is required
• Must be proficient in current computer operating systems and Microsoft Office Suite
• Strong interpersonal skills with the ability to communicate effectively orally and in writing with all levels of employees and external consultants
