Job Description
This position requires a U.S. Security clearance and is willing to pay between $40-$45/HR depending on experience and qualifications.
1. Maintains schedules and appointments of meetings (including briefings, project reviews, and contacts with sponsors). Collects and prepares documents or information required for attendance at such meetings; arranges for any needed facilities support.
2. Prepares travel requisitions and arrangements (including tickets, reservations, transfer of security clearances); files travel vouchers and supporting documentation for reimbursements of costs incurred by the President.
3. Within our client’s headquarters, helps coordinate requirements with Vice Presidents and Division Directors, and ensures appropriate distribution of information from the President.
4. Initiates correspondence as needed and assures the accurate and timely completion of written communications for the President. Maintains record of internal and external deadlines and ensures timely responses.
5. Maintains administrative databases as needed (e.g., mailing lists and lists of classified and unclassified holdings).
6. Assists the Chief of Staff/Corporate Secretary with Board responsibilities and assists in organizing Board and Board committee meetings, including travel arrangements for Board members.
7. Assists the Chief of Staff/Corporate Secretary in collecting and organizing data for presentations by the President at meetings of the Board of Trustees and government advisory groups; assists the President in editing materials for incorporation into speeches, articles, and presentations in various forums; ensures materials are accurate and timely.
8. Assists the Chief of Staff/Corporate Secretary with coordinating special client-sponsored events under the auspices of the President.
9. Performs other duties as assigned

Required Skills & Experience
• High School diploma.
• 4 or more years of experience in a position supporting senior management.
• Applicants must demonstrate advanced proficiency in Microsoft Outlook, including expert-level management of complex calendars, coordination of high-volume scheduling, and efficient handling of email communications in a fast-paced environment.
• Demonstrated ability to maintain confidentiality; ability to communicate effectively and diplomatically both orally and in writing; strong interpersonal skills.
• Experience using microcomputers and associated software such as Excel and Word.
• Ability to obtain the necessary security clearance.
