Job Description

Insight Global is looking for a Contracts/Admin Assistant to join our client's team in Salt Lake City, UT. This is a fully onsite position, Monday through Friday. We are seeking a team player who is organized, detail-oriented, a self-starter, and capable of handling multiple tasks efficiently. This role begins as a 6-month contract with the high potential for full-time conversion for the right individual. This individual will process subcontract agreements, manage change orders, handle certificates of insurance (“COI”), request payment and performance/rider bonds, communicate with vendors and subcontractors, assist in job setup and tracking, and other administrative tasks as needed/required.

Key Responsibilities
• Receive incoming subcontract agreements and gather necessary details for review by the Project Manager and Corporate Contracts Manager.
• Create job records, upload documents to the server, and enter fully executed agreements into the Plexxis system.
• Prepare change orders for signature.
• Distribute signed copies and upload them to the district server and Plexxis.
• Request certificates of insurance (COIs) for jobs, rentals, trucking permits, etc., in collaboration with the Corporate Insurance Administrator.
• Upload COIs to the district server and Plexxis.
• Coordinate with the Corporate Contracts Manager to request payment, performance, or rider bonds when needed.
• Provide preliminary notice information to vendors and subcontractors.
• Enroll in Owner-Controlled Insurance Program (OCIP)/Contractor Controlled Insurance Program (CCIP) programs and assist subcontractors with enrollment.
• Track certificates and upload them to the district server and Plexxis.
• Create New Job Information Sheets and enter them into the database.
• Maintain the Contract Tracking Log to ensure it’s always up to date.
• Review and complete credit applications and prequalification forms.
• Cover receptionist phone duties as needed.
• Perform other administrative tasks as required.

Required Skills & Experience

• High School Diploma or GED
• 3+ years of administrative or contract coordination experience, preferably in construction, engineering, or a similar industry
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe PDF
• Ability to communicate both verbally and thorough writing in a professional, courteous, and knowledgeable manner
• Effective organizational, problem solving and analytical skills

Nice to Have Skills & Experience

• Experience with lien waivers
• Plexxis software experience
• Procore software experience
