Job Description

Position Overview
The Payroll Specialist is responsible for maintaining accurate financial records, managing day-to-day bookkeeping activities, and ensuring timely and compliant payroll processing for multiple clients. This role supports small business clients with precision, professionalism, and a strong commitment to confidentiality and accuracy. While most work can be performed remotely or from the office, limited travel to client locations may be required for onboarding, training, or special projects.

Payroll Duties:
• Process weekly, biweekly, and monthly payrolls for client businesses.
• Calculate wages, deductions, benefits, and employer contributions accurately.
• Prepare and file federal and state payroll tax reports (941, 940, state withholding, unemployment, etc.).
• Maintain compliance with wage and hour laws and payroll regulations.
• Handle new hire setup, W-4/I-9 documentation, and direct deposit management.
• Communicate payroll-related updates and reports to clients promptly.
• Managing multi-state payroll or 1099 contractors
• Handling payroll tax filings and deadlines
• Process for managing employee benefits, PTO, and deductions
• Handling wage garnishments or retroactive pay adjustments
• Staying current with changing payroll and tax regulations

Required Skills & Experience

Education: Associate or Bachelor’s degree in Accounting, Finance, or related field preferred.
Experience: Minimum 2–3 years of bookkeeping and payroll experience (public accounting or client-based work preferred).
Technical Skills:
Proficient in QuickBooks Online, Microsoft Excel, and cloud-based accounting tools.
Familiar with payroll systems such as Gusto, ADP, or QuickBooks Payroll.
Soft Skills:
Strong attention to detail and organizational skills.
Excellent communication and client service abilities.
Ability to manage multiple client accounts and deadlines simultaneously.
Professional demeanor and reliability when visiting client sites.
