Job Description
Our client is seeking an experienced Equity Administrator (Contract) to help support and scale its growing equity program. This is not a transactional data-entry role. They are looking for someone who understands equity administration end-to-end and can help establish structure, improve processes, and serve as a trusted partner across HR, Payroll, Finance, and Legal.
The ideal candidate brings a strong foundation in equity administration, excellent attention to detail, and the ability to think critically, challenge existing processes, and build scalable solutions. This person will join a lean, growing team and should be comfortable operating independently, solving problems, and helping create best practices where processes are still evolving.
Key Responsibilities
Equity Administration & Operations (Approx. 30%)
• Administer equity compensation programs, including RSUs, stock options, ESPP, and other incentive plans.
• Process equity transactions including grants, vesting events, exercises, forfeitures, terminations, and adjustments.
• Maintain accurate equity records within the company's equity management platform.
• Partner with Payroll and HR to ensure equity transactions are reflected accurately in employee records and payroll processing.
• Support system administration, troubleshooting, testing, and process improvements related to equity programs.
Audit, Data Integrity & Process Improvement (Approx. 30%)
• Conduct regular audits and validations to ensure equity data accuracy and completeness.
• Reconcile equity records against payroll, HRIS, and financial data.
• Identify discrepancies, investigate root causes, and recommend solutions.
• Help establish scalable processes, documentation, and standard operating procedures (SOPs) for equity administration.
• Partner cross-functionally to improve controls and create a more streamlined equity experience.
Employee & Stakeholder Support (Approx. 10%)
• Serve as a resource for employee questions related to vesting schedules, awards, exercises, and equity statements.
• Support onboarding and offboarding activities related to equity.
• Prepare employee communications and educational materials related to equity programs.
Strategic Partnership & Program Support
• Partner with HR, Payroll, Finance, and Legal to support ongoing equity initiatives.
• Assist with equity system enhancements, integrations, and future-state planning.
• Support the organization's transition and growth efforts, including future HRIS and equity system improvements.
• Act as a key contributor in helping mature and strengthen the overall equity function.

Required Skills & Experience
• 3+ years of equity administration experience.
• Strong working knowledge of RSUs, stock options, and employee stock purchase plans (ESPP).
• Experience processing equity transactions and maintaining accurate equity records.
• Experience working within equity administration platforms such as:
○ JPMorgan Workplace Solutions
○ Equity Edge
○ Carta
○ Shareworks
○ Or similar systems
• Experience partnering with HR, Payroll, Finance, and Legal teams.
• Strong analytical and problem-solving abilities with exceptional attention to detail.
Nice to Have Skills & Experience
• Experience supporting a public company equity program.
• Experience with employee populations ranging from broad-based awards to executive-level grants.
• Familiarity with ASC 718, Section 16 reporting, SOX controls, and other equity-related compliance requirements.
• Experience working with HRIS and payroll platforms such as ADP Workforce Now and Workday.
• Experience helping build processes, documentation, or new programs within a growing organization.
