Job Overview
The Event Coordinator supports the planning, organization, and execution of all company trade shows and marketing events. This role partners closely with the Marketing Team to ensure successful event presence, smooth logistics, and high‑quality brand representation. The ideal candidate is detail‑oriented, organized, proactive, and comfortable traveling and managing multiple events throughout the year.
Responsibilities Overview
• Coordinate logistics for 30 trade shows annually, including two major shows.
• Handle scheduling, booth setup needs, shipping, materials preparation, and on‑site support.
• Manage travel arrangements, registration, and timelines to ensure smooth event execution.
• Serve as a point of contact during events for internal teams, customers, and partners.
• Work closely with the Marketing Team to align event strategy with brand goals.
• Assist the graphic design team in creating flyers, promotional materials, and event collateral.
• Support email communications related to events, registrations, confirmations, and follow‑ups.
• Communicate event details to internal stakeholders and external contacts.
• Coordinate with distributors, vendors, and partners as needed for event preparation and logistics.
• Maintain strong professional communication at all stages of pre‑event and post‑event activity.

• Experience coordinating trade shows or corporate events.
• Willingness and ability to travel regularly for events.
• Strong organizational and scheduling skills with attention to detail.
• Ability to manage multiple events and deadlines simultaneously.
• Excellent written and verbal communication skills.
• Experience working with marketing teams or supporting marketing initiatives.
• Ability to collaborate with designers and provide input for event materials.
• Proficiency in email communication and basic office software tools.
