Job Description

The company is seeking a detail-oriented and highly organized Project Administrator to support a fast-paced, active construction jobsite. This role plays a critical part in daily field operations by managing project documentation, coordinating onboarding and compliance, and ensuring the accuracy of jobsite reporting and financial tracking.
The ideal candidate has hands-on administrative experience within construction or project-based environments and thrives working directly with field teams, project managers, and subcontractors in a dynamic jobsite setting.

Provide on-site administrative support to Project Managers and field leadership, ensuring smooth day-to-day jobsite operations
Coordinate onboarding and offboarding of field personnel, including badging, site access, safety documentation, drug screenings, and new hire orientation logistics in collaboration with HR and safety teams
Maintain and manage jobsite documentation, including:

Safety reports and compliance records
Daily logs and labor reports
Delivery tickets and material tracking
Project and subcontractor documentation


Support project controls by assisting with:

Submittal tracking
RFI logs and updates
Document control and version management


Track and process jobsite-related financial and administrative items, including:

Expense tracking and credit card reconciliation
Data entry and Excel reporting
Routing invoices, checks, and supporting documentation to correct cost codes/jobs


Act as a liaison between the field, project teams, HR, and corporate to ensure alignment on staffing, compliance, and project documentation
Assist with jobsite logistics, including coordinating supplies, managing inventory for field operations, and supporting site setup needs
Ensure all documentation and reporting is accurate, up to date, and audit-ready in line with project and safety requirements

Required Skills & Experience

Bachelor’s degree preferred
3+ years of administrative experience in construction, engineering, or project-based environments
Exposure to jobsite operations, project coordination, or field support strongly preferred
Strong attention to detail with the ability to manage multiple priorities in a fast-paced jobsite environment
Excellent communication skills with the ability to work cross-functionally with field teams and corporate stakeholders
Proficiency in Microsoft Office, especially Excel (tracking, reporting)
Highly organized, proactive, and able to work independently while supporting a larger project team
Reliable, consistent attendance (Monday–Friday, on-site presence required)
