Job Description

Insight Global is looking for four Leave Administrators for a large veterinary health client. The Leave Administrator is an integral part of the Benefits Team, responsible
for supporting the organization’s transition to a centralized leave of absence and accommodations
model. Reporting to the Leave of Absence Business Partner, this role focuses on obtaining,
organizing, validating, and entering historical and current leave and accommodation records into
the designated leave management system.

This role will support LOA centralization efforts by tracking historical leave dates, maintaining
accurate current leave records, assisting with benefit premium record tracking, entering
intermittent leave dates taken, and supporting new leave requests and leave-related administrative
tasks. This role requires strong organizational skills, attention to detail, confidentiality, and the
ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
• Case Management and LOA Centralization Support:
o Obtain, review, organize, and maintain historical leave of absence and
accommodation records to support LOA centralization eJorts.
o Enter historical and current leave and accommodation data into the designated
leave management system.
o Track and validate historical and current leave dates, including leave start dates,
end dates, extensions, return-to-work dates, and other relevant case milestones.
o Track current intermittent leave usage by entering dates of leave taken and ensuring
records are accurate and up to date.
o Support a caseload of leave and accommodation requests, ensuring timely followup, accurate documentation, and appropriate updates to stakeholders.
o Review records for accuracy, completeness, and consistency, and identify missing
or conflicting information for follow-up or escalation.
• Employee-Facing Leave & Accommodation Coordination:
o Serve as the primary point of contact for employees and managers regarding leave
of absence and accommodation inquiries.
o Provide employees with clear and accurate information about their leave and
accommodation options, statutory entitlements, and required documentation.
o Support new leave requests and leave-related administrative tasks to ensure timely
follow-up and a positive employee and manager experience.
o Escalate complex ADA, PWFA, or accommodation-related matters to the
appropriate LOA team member.
• Collaboration:
o Work closely with HR, Legal, People Operations, Benefits, Payroll, People
Technology, managers, and LOA team members to support centralized leave
administration.
o Partner with internal stakeholders to clarify historical leave information, resolve
record discrepancies, and ensure accurate system data.
o Provide updates to managers and HR teams on the status of employee leaves,
documentation needs, and record completion status, as appropriate.

Required Skills & Experience

Education & Experience:
o Associate’s degree or equivalent work experience required; Bachelor’s degree
preferred.
o 2-4 years of experience in leave administration or a related field.
o Basic knowledge of federal, state, and local leave laws (e.g., FMLA, ADA, statespecific paid leave programs).
o Experience with HRIS, case management, leave management systems, records
clean-up, or system implementation support preferred.
• Skills & Competencies:
o Strong case management and organizational skills, with the ability to manage
multiple requests simultaneously.
o High attention to detail and accuracy in reviewing, tracking, and entering employee
leave records.
o Ability to identify missing, inconsistent, or conflicting information and escalate
appropriately.
o Excellent communication skills, both written and verbal, with the ability to interact
professionally with employees, managers, and internal partners.
o Ability to handle confidential employee information with discretion and
professionalism.
o Ability to prioritize tasks effectively and meet deadlines in a fast-paced
environment.
• Technical Proficiency:
o Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
o Experience using HRIS, case management, or leave management systems
preferred.

Nice to Have Skills & Experience

Experience with LeaveSource or similar leave/case management system

Experience with HRIS platforms, case management systems, or benefits systems

Multi-state FMLA, ADA, PFML, STD, or accommodation exposure

Experience supporting data clean-up, system implementation, migration, or centralization projects

Experience tracking intermittent leave usage

Experience supporting benefit premium payment records or leave-related benefits administration

Intermediate Excel skills, including tracking, filtering, sorting, and maintaining data logs
