Job Description
The Austin Facilities Coordinator position will be responsible for providing general overall support to facility management services, including continuous monitoring of the office and facility. This may include the following tasks:
• Addressing client inquiries and concerns, ensuring timely and quality issue resolution and service delivery
• Following protocol for effective building-specific maintenance and safety procedures
• Monitor service and performance of vendors when necessary.
• Follow process to update onsite vendor badges (JLL, Aquila, janitorial services, etc.)
• Handle all visitor, vendor, etc. temporary parking passes.
• Review and manage 360 work orders and ensure the work has been completed for our site.
• Serve as a liaison during events between host & facilities, catering (support to get into E/// Office), janitorial & security.
• Ensure 360 work orders are created, tracked, updated, and closed
• Support small project work performed by C&W
• Support accruals and forecasting following established procedures

Required Skills & Experience
• High School graduate, GED, or equivalent experience
• Minimum of 2-3 years demonstrated experience in administrative or facility work
• Advanced computer skills (Word, Excel, Power Point, Outlook)
• V-Look ups
• Basic Formulas
• Advanced tech skills (use of smart phone, laptop, etc.)
• Must be able to multi-task and work with numerous interruptions
• Must be able to understand and follow written and verbal instructions
• Must be able to work with a variety of managerial styles
• Must pass a criminal background check
• Ability to sit for long periods of time
• Ability to work in an environment with exposure to occasional loud noises
Nice to Have Skills & Experience
• 360 or Gensuite EH&S tool experience
• Advanced excel experience
• Working knowledge/understanding of CMMS systems
o Experience submitted work orders for any malfunctions or damages
• Analytical experience within reporting tools
• Experience with helping submit inventory for office supplies
• Worked in Facility operations/maintenance administration environment
