Job Description

About the Opportunity
A well-established non-profit organization serving children, teens, and young adults throughout the Pittsburgh area is seeking an Administrative Assistant to support daily operations across its network of clubhouses. This is a great opportunity for someone with strong customer service and communication skills who enjoys supporting families, managing administrative tasks, and making a positive impact in the community.
The organization provides before- and after-school programming, sports activities, Special Olympics programming, and educational services for youth ranging from preschool age through young adulthood.

Responsibilities
- Enter and maintain scholarship and ELRC (Early Learning Resource Center) funding information
- Process and manage childcare billing and payment-related documentation
- Coordinate and place supply orders through vendors such as Amazon and Instacart for clubhouse locations
- Contact families regarding declined payments and account updates
- Generate and distribute weekly enrollment and participation reports
- Support administrative operations across multiple clubhouse locations
- Maintain accurate records and ensure data integrity within internal systems
Provide excellent customer service when interacting with families, staff, and community members

Additional Information
- Candidates do not need prior experience with ProCare or Google Suite tools; training will be provided.
- This is a short-term opportunity ideal for individuals available to commit to a 2–3 month assignment.

Required Skills & Experience

- High school diploma or GED
- Previous customer service, administrative, front office, or back office experience
- Strong verbal and written communication skills
- Proficiency with basic computer systems and data entry
- Strong organizational skills and attention to detail
Ability to handle sensitive information professionally and confidentially

Nice to Have Skills & Experience

- Associate's or Bachelor's degree in Communications or a related field
- Experience working in a non-profit, educational, childcare, or community-based environment
Experience with ProCare software (higher pay may be considered for candidates with ProCare experience)
