• Answer phone inquiries and direct in a polite and friendly manner
• Answer emails promptly and professionally
• Greet and screen visitors entering the client’s facility and comply with all security procedures including entering visitors and contractors into the visitor management system.
• Create/activate/deactivate visitor and contractor badges
• Maintain and update site phone list to facilitate answering or directing calls
• Monitor truck entrance camera to allow truck and contractor access to the property
• Monitor all other cameras as necessary and time permits
• Assist with organizing and maintaining printer room to ensure cleanliness and order
• Support client HR office with scheduled applicant interviews and subsequent New Employee Orientation
• Coordinate visits of large groups – ordering and picking up food and beverages along with decorating of meeting room
• Assist different functions with data entry and document filing – Uses multiple software/programs to create documents and enter data
• Must adhere to client corporate communication policy
• Attend meetings as necessary
• Perform other administrative duties as necessary
• Assist and obtain all evacuation clipboards, walkie talkies, and logs in case of emergency

Required Skills & Experience

• High school diploma or equivalent – 2+ year college degree or technical degree preferred but not required
• Prior administrative or clerical experience preferred
• Strong interpersonal communication skills both verbal and written
• Proficient with Microsoft Office Suite (Word, PowerPoint, Excel, TEAMS)
• Highly organized multitasker who works well in a fast-paced environment
• Excellent time management
• Prior experience in receptionist role or customer support role preferred
