Job Description

We are looking for an Administrative Support Specialist to join our team in Oklahoma City. This person will accurately input information into computer databases to support processes such as time and expense entry, work management, invoicing, and accounts payable. This role provides general administrative support, including mailing, scanning, copying, and may serve as the receptionist. This position pays $22/hr
Key Responsibilities:
Input information accurately into computer databases for various processes.
Provide general administrative support, including mailing, scanning, and copying.
Serve as the receptionist for the facility as needed.
Run reports and review data for accuracy.
Arrange employee engagement activities.
Prepare and modify documents such as correspondence, reports, drafts, memos, and emails.
Meet established deadlines and deliver requested information promptly.
Schedule and coordinate meetings and appointments, maintain the master calendar, and manage employee availability.
Support company and client-sponsored events by organizing and scheduling catering, facilities, and other vendors.
Maintain various administrative reports and databases, including fleet, phone lists, storm rosters, occupancy, and PPE assignments.
Monitor and order office supplies cost-effectively.
Assist with the new employee onboarding process.
Manage fleet vehicle maintenance, including coordinating appointments, tracking mileage, and outfitting vehicles with up-to-date equipment.
Perform other duties as assigned by management.
