We are looking for a proactive, detail-oriented individual to support and maintain our procurement technology stack, with a particular focus on Coupa and Zip. In this role, you will provide administrative and triage support for day-to-day procurement product requests as well as first-level system troubleshooting. You will collaborate closely with the Procurement Director, Procurement Tools Specialist, and IT Service Desk, ensuring that user inquiries are promptly addressed and that any procurement technology change requests follow established processes.
By swiftly addressing user issues, coordinating system enhancements, and maintaining clear communication across departments, you will help:
1. Coupa & Procurement Tools Support
Investigate and resolve basic Coupa issues (post-service desk triage).
Assist with user setup, role assignments, permissions, and minor configuration tasks under guidance.
Monitor and escalate Coupa integration errors to the appropriate owners.
Update and maintain procurement system documentation, FAQs, and knowledge bases.
2. Issue & Request Management
Manage low-complexity issues in the service desk platform, ensuring proper tracking and closure.
Collaborate with the IT Service Desk to categorize, prioritize, and assign tickets accurately.
Identify recurring issues and communicate improvement opportunities for process optimization.
3. Intake & Change Request Coordination
Support the intake and triage of procurement-related feature requests and system enhancements through Asana.
Ensure all requests follow the approved change management workflow, from validation and prioritization to final approval.
Maintain dashboards and status reports to keep the Procurement team informed of progress.
4. General Procurement Product Support
Prepare documentation, meeting notes, and summaries for procurement tech reviews.
Assist with testing new features, configurations, and small releases in UAT environments.

3+ years experience in a support or administrative capacity within procurement / procurement systems
Fundamental understanding of Procure-to-Pay (P2P) processes.
Familiarity with Coupa, ticketing tools, and task management applications (e.g., Asana, Jira).
Strong organizational abilities, attention to detail, and thorough follow-up.
Effective written and verbal communication skills, enabling clear stakeholder interactions and documentation.
