Job Description

Insight Global is looking for an Executive Assistant to join one of their financial services clients in NYC. The Executive Assistant will be exclusively responsible for managing complex executive calendars and overseeing all domestic and international travel arrangements. This role supports senior level leaders and requires exceptional coordination skills, proactive communication, and the ability to operate with a high degree of professionalism and discretion.

Responsibilities:
•Own all aspects of executive calendar oversight, ensuring accuracy, clarity, and prioritization of daily schedules.
•Schedule, confirm, and modify internal and external meetings, including multi-party coordination across time zones.
•Anticipate scheduling conflicts and proactively resolve them while maintaining stakeholder trust
•Ensure executives are fully briefed and prepared with agendas, logistics, and timing for all scheduled commitments.
•Monitor evolving business priorities and adjust calendar configurations accordingly.
•Arrange comprehensive end to end travel itineraries through Concur, including flights, ground transportation, lodging, and special requests
•Prepare detailed travel briefs that include timing, confirmations, and contingency options.
•Process travel changes, cancellations, or rebooking efficiently and communicate updates promptly to executives.
•Ensure all travel complies with company policies and financial controls.
•Submit, track, and reconcile travel related expenses in Concur with full accuracy and supporting documentation

Required Skills & Experience

•3-5 years' experience as an executive assistant
•Previous financial services industry experience
•Proven experience managing complex calendars for senior-level executives
•Proficient in utilizing Concur or AMEX Travel for travel bookings
•Excellent communication and organizational skills

•Experience completing expenses
