Job Description

The Office Administrator is responsible to:



* Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests

* Ensure optimal operation of office equipment, supplies, with preventive maintenance

* Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, etc.

* Coordinate internal and external resources to expedite workflow

* Oversee and achieve organizational goals while upholding best practices



What the Office Administrator does:



* Provide front desk coverage, which includes handling phone lines, greeting guests, managing incoming/outgoing mail and shipments, and maintain an organized, clean office environment

* Assist with organizing and scheduling company meetings occurring in the office, on the phone or via video conference; Maintain conference rooms and equipment

* Provide administrative support to senior leaders, which includes compiling agendas and the generation and distribution of emails, meeting invites and other document management

* Maintain office filing and storage system and company contact list

* Assist IT Director with troubleshooting IT issues

* Coordinate with building any maintenance issues for general repair and updates

* Purchase office supplies maintaining proper stock levels and researching new deals and suppliers

* Ensure office equipment is properly maintained and serviced

* Oversee and schedule catering, order and stock kitchen supplies

* Assist with travel arrangements for staff

* Perform work related errands as requested such as going to the post office or Fedex

* Assist other departments with administrative support

Required Skills & Experience

What experience we are looking for:



* 3-5 years of experience in an administrative support role or similar

* Must have excellent communication and organizational skills

* Detail oriented; creative problem solver

* Experience with Outlook, Word, and Excel; good internet skills

* Self-starter who is reliable and has strong time-management skills

* Can work independently and prioritize work
