Job Description

One of Insight Global's retail clients is seeking a Program Coordinator to support several high priority IT infrastructure and services transformation initiatives, including Managed Network Services (MNS), Serverless Store operations, and associated Phase Zero / pre contract activities.
This role partners directly with the Program Lead and senior IT leadership to provide execution discipline, structured coordination, and clear communications across complex, fast moving workstreams. The focus is on imposing order, maintaining momentum, and protecting critical timelines in a highly cross functional environment.
This is not a technical design role and not an independent project manager owning delivery workstreams end to end. It is a coordination, communications, and execution enablement role that acts as a force multiplier for senior program leadership.

Key responsibilities include:
Program Execution & Coordination
•Maintain an integrated view of the program across multiple workstreams (network, security, vendor transition, finance, governance).
•Track milestones, dependencies, and critical path activities; ensure clear ownership and timelines.
•Coordinate weekly execution cadence, including status reviews, action tracking, and follow ups.
•Proactively surface risks, bottlenecks, and sequencing conflicts; escalate early to avoid schedule impact.

Governance & Process Management
•Drive readiness for internal governance forums (e.g., Architecture Review Board, PMO reviews, CapEx / CapCom approvals).
•Ensure prerequisite documentation, artifacts, and approvals are prepared, aligned, and submitted on time.
•Track compliance with internal processes and approval sequencing across parallel initiatives.

Stakeholder & Communications Management
•Act as a central coordination point across IT, Finance, Security, Architecture, and business stakeholders.
•Own the consistency and clarity of program communications across different audiences.
•Draft and manage status updates, action summaries, decision logs, and executive ready materials on behalf of program leadership.

Vendor & Financial Coordination
•Track vendor related activities, deliverables, and dependencies tied to contracting and transition milestones.
•Support financial coordination for early phase activities (e.g., Phase Zero / pre requisite funding).
•Coordinate inputs required for budgeting, forecasting, and approval cycles.

Operational Support to Program Lead
•Organize large volumes of actions into prioritized, clearly categorized workstreams.
•Anticipate coordination and communication needs to reduce execution and stakeholder friction.
•Provide structured reporting that enables timely decision making and maintains program momentum.

Required Skills & Experience

•5–8+ years of experience in program coordination, PMO, or complex project support roles
•Experience supporting large scale IT, infrastructure, or transformation programs
•Strong understanding of governance processes (architecture reviews, funding approvals, stage gates)
•Exceptional organizational, written, and verbal communication skills
•Able to operate effectively in ambiguous, fast changing environments
•Familiarity with PMO and tracking tools (e.g., MS Project, Smartsheet, Jira, or similar)

Nice to Have Skills & Experience

•Experience in retail, multi site, or infrastructure heavy environments
•Exposure to managed services, outsourcing, or vendor transition programs
•Familiarity with security, network, or cloud transformation initiatives
