Job Description

Insight Global is assisting a client in the business education space in finding a direct hire Event Manager for a growing organization. They will that will develop and oversee the entire lifecycle for a group setting workshop, which are about 4-5 a week. This includes planning the event, managing relationships with vendors, coordinating with the speakers of the event, conducting test runs to ensure the event flows with the appropriate time, and being present at the events for a smooth execution. The company heavily invests in their employees and allows them the space to use their creative ideas which will result in memorable experiences to their customers.

- Contribute to the development and execution of the overarching event strategy, ensuring it aligns with organizational objectives. Manage the entire event lifecycle, from inception to realization.
- Lead a dynamic event team, offering guidance, mentorship, and assistance. Collaborate with various departments to ensure comprehensive event coverage.
- Identify potential risks, devise contingency plans, and resolve any challenges that may arise during the planning and implementation phases.
- Attain a comprehensive grasp of each event's requirements by crafting detailed playbooks and checklists in Asana.
- Manage the day-to-day logistics of events and programs, including procurement, meticulous run-of-show creation and review, vendor coordination, travel arrangements, dining reservations, registration figures, and issue resolution.
- Provide support during on-site events, including liaising with secondary vendors, managing room allocations, coordinating signage, overseeing run-of-show schedules, and other pertinent responsibilities.
- Collaborate with the team to conceptualize, organize, and execute captivating workshops from inception to completion.
- Act as the primary point of contact, ensuring a warm and approachable presence for all attendees.
- Source and collaborate with vendors to ensure the prompt delivery of services and materials.
- Work closely with subject matter experts to craft engaging workshop agendas.
- Supervise the registration process and maintain attendee databases.
- Take charge of on-site coordination, swiftly resolving any issues to ensure seamless event operations.
- Manage event budgets, monitor expenditures, and identify opportunities for cost optimization.
- Review guest satisfaction surveys and pinpoint areas for enhancement.

- Deliver workshops that consistently garner positive feedback, high net promoter scores, and exceptional attendee satisfaction.
- Engage actively with guests to create a memorable and positive experience, addressing queries and providing information as needed.
- Proactively seek opportunities to create memorable 'WOW' moments, such as personally welcoming guests by name upon their arrival at the venue.
- Ensure a similarly positive experience for speakers and presenters.
- Submit post-event reports promptly, including key metrics, lessons learned, and recommendations for enhancement.

Required Skills & Experience

- 4 years of experience in Event Management or a similar capacity, with a proven record of successfully executed events.
- Experience in planning multiple business or educational events spanning several days
- Proficient in customer relations and guest management.
- Excellent verbal and written communication skills, with the ability to express ideas clearly and succinctly.
- Strong attention to detail, exceptional organizational skills, and adept at multitasking.
- Ability to collaborate effectively with cross-functional teams and external partners.
- Strong problem-solving abilities, capable of making quick decisions on the spot.
- Proficiency in project management software.
- Experience in managing and adhering to budgets.
- Innovative thinker with a knack for introducing fresh ideas into workshop planning.
- Comfortable with running once a month Saturday events
