One of our large construction companies is actively hiring for an Administration Accounts Specialist to join their team. We are seeking a highly organized and detail-oriented Administrative Accounts Specialist to provide support across multiple departments. This role combines administrative functions with basic financial and vendor support duties, including processing invoices, maintaining records, assisting with billing tasks, and supporting vendor and customer communications. The ideal candidate will be comfortable working in spreadsheets, preparing business correspondence, and helping maintain smooth office and financial operations.
Key Responsibilities:
Assist with following up, tracking necessary information, and preparing reports to support accounts payable and receivable transactions.
Communicate with vendors, suppliers, and customers to resolve billing or documentation inquiries
Prepare and update spreadsheets, summaries, and financial records
Support internal departments with administrative and financial-related tasks
Maintain accurate filing systems for invoices, contracts, and supporting documentation
Draft letters, emails, and other business correspondence professionally and promptly
Track and follow up on outstanding invoices, documentation, and project-related items
Assist with expense reporting and credit card reconciliation
Coordinate with accounting or finance teams to ensure timely reporting and documentation
Provide general office support as needed (e.g., scheduling, document preparation, file organization)

2+ years of experience in an administrative, office support, or accounts-related role
Familiarity with basic accounting or financial principles (no CPA required)
Proficient in Microsoft Office Suite, especially Excel and Word
Strong written and verbal communication skills
High attention to detail and organizational skills
Ability to manage multiple tasks and meet deadlines in a fast-paced environment
Experience working with accounting software (e.g., QuickBooks, Sage, or similar) is a plus
