Job Description

The Payroll Manager is responsible for the accurate, compliant, and timely execution of payroll while also serving as a key problem-solver and process owner for payroll-related operations. This role goes beyond processing to include identifying root causes of issues, improving systems and workflows, and ensuring payroll processes scale with the organization. This is a hands-on, player/coach role that manages a small team while actively participating in payroll operations. The Payroll Manager will also partner closely with HR and Finance and take ownership of select benefits administration processes. Tasks will include:
Payroll Operations & Compliance
• Oversee and actively participate in end-to-end payroll processing for a multi-state workforce, ensuring accuracy, timeliness, and compliance.
• Ensure payroll transactions including wages, benefits, taxes, garnishments, and deductions are processed correctly.
• Maintain compliance with federal, state, and local wage and hour laws and payroll regulations.
• Review and reconcile payroll data, reports, and related filings (e.g., 401(k), tax reporting).
Problem Solving & Process Improvement
• Independently identify, diagnose, and resolve complex payroll issues, including root cause analysis across systems, processes, and data.
• Proactively identify inefficiencies and recommend improvements to payroll processes, controls, and systems.
• Partner with HR and Finance to streamline workflows and improve data integrity across systems (Paycom and related tools).
• Support ongoing automation efforts and help drive a more scalable, efficient payroll function.
Team Leadership
• Manage and develop payroll staff, providing direction, coaching, and performance oversight.
• Balance leadership responsibilities with hands-on execution as needed.
• Ensure appropriate cross-training and continuity of operations.
HRIS & Systems Ownership (Payroll-Related)
• Serve as a key owner of payroll-related components within the HRIS (Paycom), ensuring data accuracy and system optimization.
• Partner with internal stakeholders to implement system updates, enhancements, and process changes.
Benefits Administration (Partial Ownership)
• Support and, over time, take ownership of select benefits administration activities, including reconciliations, vendor coordination, and plan audits.
• Ensure alignment between payroll and benefits deductions and reporting.
Reporting, Audits & Stakeholder Support
• Prepare and analyze payroll-related reports (monthly, quarterly, annual) for internal stakeholders.
• Support internal and external audits by providing accurate documentation and responding to inquiries.
• Serve as a resource to employees and managers for payroll-related questions, providing clear guidance and issue resolution.

Required Skills & Experience

5 years experience in payroll management experience (Multi-state)
Experience operating in a lead/ supervisor/ management role
Well versed in HRIS payroll systems and applications (Paycom)
Experience with process improvement, analysis, and workflow optimization
Strong knowledge around payroll wages, taxes, deductions, etc.

Nice to Have Skills & Experience

Knowledge around employee benefits and related items
Experience in non-profit industry
Process automation experience
