Job Description

Day to Day Responsibilities

* Enter all invoices and process checks for the owner to sign off on.

* Responsible for all project line waivers, invoices, and draws.

* Manage and prioritize the executive's schedule, appointments, and meetings.

* Prepare and edit correspondence, reports, and presentations.

* Creating and researching subcontractor bid lists.

* Drafting and sending contracts to subcontractors and permit paperwork and procurement.

* Maintain electronic and hard copy filing system and retrieve documents from filing system.

* Answer phones, provide information, and receive information concerning matters related to different departments.

* Perform a variety of general office support duties; make copies, printing, scanning, filing, and faxing, maintain calendar of activities, meetings, and various events for assigned staff; receiving, sorting, and distributing incoming and outgoing correspondence and packages.

* Provide a wide variety of responsible clerical, technical, administrative and office support duties including related tasks, as assigned.

* Calendar management for executive and aid in preparing for meetings

* Responding to emails and document requests on behalf of executives

Draft slides, meeting notes and documents for executives

Required Skills & Experience

Qualifications

* 4+ years of experience as a project coordinator, project engineer, or office manager

1+ year within the construction, manufacturing, or industrial industry

* Proficient in Microsoft Office and Google Workplace (Gmail, Google Drive)

* Experience in managing multiple priorities, administrative, operations, and scheduling

* Well-organized, detail-oriented, ability to multi-task with great follow-up skills

* Strong written and verbal communication skills

* Some understanding of the RFP or bid process



Pluses

- Experience working with Monday or Builder Trend software

Experience working with QuickBooks
