Job Description

The Administrative Assistant supports the project team by managing day-to-day administrative and coordination tasks that keep projects organized and moving forward. This role is responsible for document control, meeting coordination, task tracking, and light billing and onboarding support. The ideal candidate is detail-oriented, proactive, and comfortable working across multiple priorities in a project-driven environment.

Required Skills & Experience

• 2+ years of experience in an administrative assistant, project support, or coordination role
• Strong organizational skills with the ability to manage multiple tasks and deadlines
• Experience supporting document control, correspondence, and filing for active projects
• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Strong written and verbal communication skills, including follow-up with internal teams and external partners
• Ability to work independently, prioritize work, and push tasks through to completion
• Experience working in or supporting construction, engineering, or project-based teams

Nice to Have Skills & Experience

• Experience using Procore or similar project/document management software
• Exposure to RFIs, submittals, contracts, purchase orders, or project logs
• Experience supporting billing tasks such as invoices or subcontractor pay applications
• Solar, renewable energy, or energy storage industry experience
• Experience assisting with onboarding or vendor/subcontractor documentation
