Job Description

The Marketing and Office Coordinator will play a crucial role in the smooth functioning of the office management while also coordinating various corporate events and logistics. This position involves managing administrative tasks, overseeing office operations, and planning and executing events to meet organizational objectives.

Office Coordination
o Manage day-to-day office operations and ensure a well-organized and efficient work environment.
o Assist in planning and executing internal meetings, including scheduling, room setup, and catering.
o Oversee administrative tasks such as managing supplies, handling correspondence, and inventory.
o Act as a point of contact for employees and partners regarding office-related matters and conference room booking.

Event Planning and Execution
o Organize internal company events, meetings, conferences, and other special occasions.
o Coordinate all aspects of events, including catering, audiovisual setups, and logistics.
o Create and manage invitations and registration pages for events, webinars, and other marketing initiatives.
o Monitor RSVPs and registrations and provide regular updates to the marketing and sales teams.
o Collaborate with internal teams to ensure events align with organizational goals and objectives.

Internal Document Creation and Management
o Create, maintain, and update internal documents such as partner portfolios, project timelines, and customer facing reports/materials.
o Ensure documents are organized, up-to-date, and accessible to relevant team members.
o Collaborate with cross-functional teams to gather information and create compelling marketing collateral.

Campaign Management
o Assist in the development and execution of marketing campaigns across various channels.
o Monitor campaign performance metrics and provide regular reports to the marketing and sales teams.
o Coordinate with external vendors an agencies to ensure a timely delivery of campaign assets.

Communication and Administrative Support
o Handle incoming and outgoing correspondence related to both office and event coordination.
o Serve as liaison between office and event participants or vendors.
o Provide administrative support to various departments as needed.

Required Skills & Experience

Previous experience in event planning and coordination is highly desirable.
Proven experience in marketing coordination, event planning or similar role(s).
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficient in tools such as Microsoft Office Suite, Canva, Adobe, and similar.
