Job Description

Insight Global is supporting a long‑standing, mission‑driven nonprofit organization serving communities across California. Their programs span foster care, youth services, residential care, behavioral health, and family/community support. Every role contributes to expanding opportunity, stability, and hope for the individuals they serve.

The Projects Coordinator prepares, organizes, and submits funding opportunity proposals while maintaining documentation, data, and reporting used by leadership. This role partners closely with district offices, consultants, and external agencies to ensure accurate and timely submissions and supports the full proposal lifecycle from opportunity identification through award.

Responsibilities:
Proposal & Contract Coordination
• Manage proposal development from planning through final submission.
• Collect and organize documents for funding opportunities.
• Prepare and submit Community Care Licensing (CCL) Program Statements.
• Edit and compile final proposal packets.
• Maintain proposal records and contract metadata.
• Monitor funding platforms and create proposal project files.
• Track contract terms, prepare summaries/forecasts, and support post‑award tasks.
• Research competitor contracts and support annual data updates.

Communication & Collaboration
• Coordinate communication across internal teams and district offices.
• Work with consultants and departments throughout proposal preparation.
• Provide progress updates to senior leadership.
• Support the Projects Supervisor and executive leadership with administrative needs.

Systems & Reporting
• Maintain the Program Contracts Site, proposal/RFP database, and funder lists.
• Manage data and prepare reports for leadership and compliance.

Required Skills & Experience

• Associate degree in Business, English, or related field OR 3+ years of experience in document editing, project coordination, or similar work.
• Advanced proficiency with Adobe Acrobat, SharePoint, and Microsoft Office (Word, Excel, PowerPoint).
• Strong 10‑key data entry skills.
• Ability to format budgets and develop accurate, complex equations.
• Excellent organizational skills and strong attention to detail.
• Ability to manage multiple deadlines in a fast‑paced environment.
• Flexibility in managing shifting priorities and projects.
• Strong written and verbal communication skills.
• Ability to prepare clear, concise, and well‑structured reports.
• Must meet all state‑required employment conditions (fingerprint clearance, Child Abuse Index, TB/physical exam, valid driver’s license, clean driving record).

Nice to Have Skills & Experience

• Bachelor’s degree in Business Administration or related field.
• Experience working in a nonprofit environment.
Experience supporting a multi‑site organization.
