Job Description

A client of Insight Globals in the non-profit space is looking to hire a Sr Payroll Specialist. The Sr. Payroll Specialist supports the Agency in in all facets of full-cycle payroll administration, audits and compliance, reporting and analysis, and the communication and education of payroll and timekeeping policies and practices with staff. This position
serves as the most senior and experienced Payroll administrator on the Payroll Team and as the backup to the Payroll Manager. This role is hybrid onsite (3days/week).
Responsibilities include:
• Process full-cycle payroll accurately and on time.
• Handle payroll transactions (manual checks, pay changes, bonuses, mileage, LOA, garnishments).
• Ensure correct/timely payroll taxes and withholdings.
• Audit and reconcile payroll data and payroll balance sheet.
• Assist with W‑2 preparation and tax compliance schedules.
• Provide guidance to employees and managers on complex payroll issues.
• Respond to federal, state, and city agency inquiries.
• Support Accounting and external auditors with payroll data and reports.
• Maintain payroll system codes, cost centers, and updates.
• Generate payroll reports and perform data analysis.
• Document and improve payroll policies, procedures, and internal controls.
• Provide payroll/timekeeping training during onboarding.
• Ensure accuracy of timekeeping system records.
• Maintain Payroll SharePoint content.
• Assist with special projects as needed.

Required Skills & Experience

• Bachelor’s degree or equivalent accounting experience.
• 6–8 years of payroll experience.
• Strong knowledge of general payroll practices, CA wage/labor laws, and compliance deadlines.
• Advanced math and payroll calculation skills (wages, taxes, deductions, accruals).
• Proficient in HRIS/payroll systems and Microsoft Office; strong Excel skills (pivot tables, V‑lookups).
Strong communication, confidentiality, organization, and multitasking skills.

• Experience in a nonprofit or social services organization.
• Experience supporting a multi‑site organization.
