PG&Es land rights department currently facilitates the Utility Relocation projects. These projects entail entering into a contract/agreement which includes terms of payment depending upon liability of the agency and cadence of billing. The liability determination is made by Land Agents (LA) which is captured in the contract. The Billing Agent (BA) runs the SAP financials each month for the active projects and provides the status to Project Manager/Job owner and Land Agent. The work would require working in close communication with land agents and contract supervisor.
Follow the billing procedure to:
1. Manage billing in Salesforce or current system of record
2. prepare progress and final bills (PB & FB)
3. obtain joint pole, betterment, Salvage & Depreciation (S&D), Code of Federal Regulations (CFR) credits
4. ITCC tax determination when applicable
5. Verify Overruns in project cost
6. Request Invoice in Salesforce
JOB DESCRIPTION
Billing agent creates and provides regular interval invoices and a final invoice also known as a true-up for Utility Relocation projects. These projects include an agreement which is prepared by the Utility Relocation Land Agent after a liability determination is completed. The agreement includes payment terms and the cadence of billing. The liability determination made by Land Agents is identified in the agreement. The Billing Agent employs a variety of tools, some proprietary, to capture the data, create a record and create either a Progress Bill or a Final Bill. The Agent generates a monthly financial report from a PG&E Tool for active utility relocation projects. The Agent provides the actual costs to Project Manager/Job owner and Land Agent.
The Agent must follow the billing procedure to as outlined in the PG&E Internal Procedure Document (LAND 2057P-01) Such procedure includes but is not limited to the following:
1. Manage billing in Salesforce or current system of record
2. Prepare progress and final bills (PB & FB)
3. Obtain joint pole, betterment, Salvage & Depreciation (S&D), Code of Federal Regulations (CFR) credits
4. ITCC tax determination when applicable
5. Verify Overruns in project cost
6. Work with Utility Relocation Land Agent to determine if an amendment to the original agreement is required based upon costs
7. Request Invoice in Salesforce
8. Route invoice for internal approval per internal procedure
