Job Description

Insight Global is seeking a Executive Assistant to join a fast paced SaaS start up that is distributed remotely across the world. This EA will primarily support the CEO and SVP of Customer Success while also providing support in a sales administration function.

• Manage executive calendars and meeting scheduling across international time zones
• Own inbox management including drafting replies, prioritizing communications, and organizing folders
• Use AI tools for meeting notes, transcription summaries, and administrative workflow optimization
• Track executive priorities and weekly action items
• Coordinate client meetings and align internal/external stakeholder calendars
• Update and maintain Salesforce opportunities and deal information
• Manage shared drives and maintain a single source of truth for sales documentation
• Coordinate executive and employee travel arrangements
• Handle swag initiatives, vendor coordination, and inventory tracking
• Support company offsites, events, and logistics planning
• Manage expense submissions and vendor payments
• Assist HR with onboarding, offboarding, PTO requests, credit card administration, and policy documentation
• Support ad hoc projects across leadership, sales, HR, and operations teams as priorities shift

Required Skills & Experience

• Prior Executive Assistant, Administrative Assistant, Executive Coordinator, or similar experience
• Experience supporting senior leadership and managing competing priorities
• Proficiency with AI-assisted workflows and automation tools
• Strong written and verbal English communication skills
• Experience managing calendars across multiple international time zones
• Inbox management experience including drafting responses and email organization
• Strong organizational and project coordination skills
• Ability to support multiple stakeholders across executive, sales, and HR functions
• Experience handling confidential and sensitive information with discretion
• Comfortable working in a highly direct, fast-paced startup environment
• Experience with tools such as Google Workspace, Slack, Zoom, Salesforce, and shared drive environments
• Ability to proactively communicate risks, blockers, and deadlines

Nice to Have Skills & Experience

• Prior startup experience
• Experience supporting multiple executives with differing communication styles
• Remote work experience within globally distributed organizations
• Salesforce deal coordination or sales operations support
• HR administration experience including onboarding, offboarding, PTO tracking, and policy support
• Event, offsite, vendor, travel, swag, or expense coordination
• Experience maintaining shared documentation repositories and sales materials
• Familiarity with Jira, Confluence, or similar collaboration tools
• Experience coordinating international travel and logistics
