Job Description
The Project Manager – Electronic Health Record (EHR) Implementation is responsible for planning, coordinating, and executing large-scale EHR implementation projects. This role ensures projects are delivered on time, within scope, and within budget, while meeting quality standards and regulatory compliance requirements.
The Project Manager will leverage their knowledge of project management methodologies, healthcare operations, and electronic health record systems (such as EPIC) to oversee system design, configuration, testing, training, go-live, and post-implementation optimization. This role requires collaboration with clinicians, IT teams, administrative staff, and vendors to deliver an integrated solution that improves clinical workflows, patient outcomes, and data management capabilities.
• Lead the planning, execution, monitoring, and closing of EHR implementation projects, ensuring alignment with organizational goals and compliance with applicable regulations.
• Develop and maintain project charters, schedules, budgets, work breakdown structures, and risk management plans.
• Coordinate project resources, including internal teams and third-party vendors, to meet project deliverables.
• Monitor and report project progress to stakeholders, escalating issues and risks as appropriate.
• Ensure integration of clinical, administrative, and technical perspectives into project planning and execution.
Stakeholder Engagement
• Serve as the primary point of contact for EHR project stakeholders, including clinical leadership, IT staff, and external vendors.
• Facilitate regular meetings with project teams, steering committees, and executive sponsors.
• Advocate for end-user needs and promote adoption of EHR solutions through effective communication and change management strategies.
System Implementation
• Oversee system configuration, data migration, implementation, and system testing phases.
• Coordinate training programs for staff to ensure successful adoption and proficiency in the EHR system.
• Develop and execute go-live readiness plans, including contingency planning and resource allocation.
• Support post-implementation review and continuous improvement activities.
Compliance & Quality Assurance
• Ensure all EHR implementation activities comply with guidance from regulatory agencies and acts, including but not limited to HIPAA, CMS, CDPH, DHCS, Joint Commission, and HCAI.
• Track, monitor, and mitigate project risks, ensuring quality and safety standards are upheld.
• Document all project deliverables, meeting minutes, decisions, and issue logs.

Required Skills & Experience
• Bachelor’s degree in Healthcare Administration, Information Systems, Business, or a related field; Master’s degree preferred.
• Minimum 7 years of progressive project management experience, with at least 3 years managing large-scale healthcare IT or EHR implementation projects.
• Project Management Professional (PMP) or PRINCE2 certification required.
• Experience with electronic health record systems (EPIC preferred; experience with Cerner, Allscripts, or other EHRs considered).
• Experience working in behavioral health, public health, or hospital environments strongly preferred.
