Major Highlights (MHs)
Project & Shop Order Management
Issue project work order numbers and maintain project logs for non-engineering requests.
Process, print, and distribute shop orders to assigned departments (weld shop, machine shop).
Maintain hard copy shop orders for paint, pipeline testing, and miscellaneous vendors; ensure proper filing.
Material Procurement & Vendor Coordination
Order materials for shop order projects, department needs, and weld school.
Coordinate delivery and pick-up for projects with Equipment Ops-X.
Manage vendor services (paint, galvanizing, sheet metal) and obtain district supervisor approval for tool repair quotes.
Administrative & Reporting Responsibilities
Generate weekly overtime reports and process timekeeping in MyTime; liaise with MyTime reps and Labor Relations.
Maintain employee vacation schedules and drivers’ inspection logs.
Submit facilities requests, ECM requests, and manage hard copy retention files, SharePoint, and shared drives.
Compliance, Qualifications & Safety
Track ESCMP in spreadsheets and Learning Module; send updates to stakeholders.
Provide monthly and quarterly operator qualification reports to leadership.
Schedule DMV physical exams and manage safety-related reimbursements and recognition processes.
Office & Financial Operations
Process invoices for approval and route to AP; manage FB card reconciliation and filing.
Order office supplies, IT equipment, uniforms, and gas products.
Handle SAP reimbursements, security access requests, and maintain bulletin boards for corporate and union updates.
