Job Description

Day to Day:

Insight Global is seeking a Facilities Project Management Specialist 3 for a top client. This candidate will lead furniture-focused facility projects supporting administrative spaces, ensuring efficient planning, budgeting, procurement, and installation. They will partner cross-functionally with design teams, vendors, and internal stakeholders to deliver high-quality project outcomes while managing multiple projects simultaneously. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and has a strong background in facilities, furniture systems, and project coordination within complex organizations.

Job Responsibilities:

Project Management (65%)
- Serve as the primary liaison between FP&D and departments to align furniture solutions with operational, patient, and staff needs
- Manage and support furniture planning, budgeting, and execution for multiple projects, including cost estimating and funding coordination
- Partner with project managers, consultants, and design teams to ensure appropriate furniture selection and project alignment
- Oversee and maintain furniture budgets (up to ~$2.5M) while tracking funding sources and addressing potential overruns
- Coordinate move-ins, installations, and workspace setup, ensuring all support services and systems are ready
- Process funding requests and vendor invoices while collaborating with accounting and internal teams
- Ensure proper delivery, storage, installation, and quality control of furniture, including site visits to confirm design intent
- Troubleshoot logistical and installation issues, coordinate with cross-functional teams, and ensure successful project closeout and client handoff

Facilities & Institutional Planning (25%)
- Ensure furniture plans meet ergonomic standards and accessibility codes while supporting construction project needs
- Manage end-to-end furniture planning processes, including selection, procurement, installation, and scheduling alignment with project timelines
- Coordinate across project managers, design teams, consultants, vendors, and departments to define requirements and resolve issues during construction
- Oversee logistics, inventory tracking, deliveries, and installations, while maintaining communication with stakeholders, protecting assets, and driving continuous improvement through post-project reviews

Furniture Procurement, Maintenance, & Inventory (10%)
- Partner with vendors to source furniture quotes and maintain strong supplier relationships
- Ensure all procurement activities align with UC and UCDH policies by collaborating with Purchasing
- Build and manage procurement timelines based on project complexity, aligning with overall project schedules
- Track furniture orders end-to-end (approvals, POs, delivery), resolving issues and coordinating across vendors, architects, and project teams

Required Skills & Experience

- Bachelor’s degree or equivalent experience
- 3-5 years of experience managing facilities or furniture-focused projects
o Experience managing project budgets, timelines, and cross-functional teams
o Experience with systems furniture planning/specification
o Experience working with vendor contracts (ideally in public sector)
o CAD software experience for planning/design
- Strong communication and stakeholder management skills

Nice to Have Skills & Experience

- Experience in healthcare or hospital environments
- Experience with university/government organizations
- Knowledge of building codes, ADA compliance, and regulatory standards
- Familiarity with procurement processes and vendor invoicing
- Knowledge of UC policies/procedures or similar institutions

$55/hr to $59/hr.
Exact compensation may vary based on several factors, including skills, experience, and education.
