Job Description
Day to Day:
• Serve as the primary point of contact for fleet maintenance issues from initial write‑up through full resolution
• Receive and review vehicle issue reports from supervisors and determine next steps for repair
• Create, manage, and track work orders from initiation to close‑out, ensuring timely follow‑through
• Proactively contact, schedule, and coordinate vendors to diagnose and repair fleet vehicles
• Request repair estimates, facilitate approvals, and coordinate authorized repairs
• Monitor repair progress, follow up with vendors, and address delays or issues as they arise
• Communicate clear and consistent status updates to supervisors and operations staff
• Confirm completed repairs, close out work orders, and notify supervisors when vehicles are ready for service
• Review and submit completed repair invoices to Accounts Payable accurately and on time
Track inspection and compliance requirements (including BIT inspections and DVIRs) and follow up on outstanding items to support fleet readiness

Required Skills & Experience
Must Haves:
• Experience coordinating and scheduling work orders, repairs, or service requests from intake to close‑out
• Strong computer skills with the ability to quickly learn new systems
• High‑volume phone and vendor communication experience with consistent follow‑up
• Strong organizational skills with the ability to manage multiple active work orders simultaneously
• Basic understanding of compliance and inspection requirements, including tracking, documentation, and follow‑up
• Dependable with excellent attendance, punctuality, and accountability
Comfortable working onsite with an early‑morning schedule
Nice to Have Skills & Experience
Plusses:
• Experience in fleet, utilities, public sector, facilities, logistics, or medical scheduling environments
• Maximo experience
• Prior exposure to fleet or asset coordination roles
• Experience submitting invoices or working with Accounts Payable
Experience supporting compliance or inspection tracking
