Insight Global is assisting a client in identifying an Executive Assistant for a growing window and doors company, servicing the Southern California area. The president they will support is highly involved in field operations, including sales, repairs, leadership, and issue resolution and looking for someone to support him in office which will allow him to maximize his overall productivity. This Executive Assistant will support the president by managing emails, prioritizing tasks, scheduling, and anticipating his needs. The client would like to cross train this person on other areas of the business and occasionally will support other teams when needed. This position is expected to evolve as the company does and looking for someone who will be a self-starter to impact the overall business positively.
Key Responsibilities:
Manage the presidents Outlook by prioritizing tasks, organizing the inbox, responding to emails, communicate urgent matters.
Provide a daily overview of the president's schedule and tasks that need attention.
Conduct morning meetings to review and report on important emails, schedule, and daily tasks.
o Discuss priorities and ongoing projects.
Assist the president who frequently visits customer sites and performs hands-on work.
Travel 4-5 times a month to other locations such as Palm Springs, Santa Barbara, Malibu, and Manhattan Beach.
Support other teams and leaders as needed, this includes teams such as warehouse, accounting, sales, and customer service.
Answer phones and assist with cross-training when necessary.

1-3 years experience supporting an executive leader or general management of office operations. (office admin, scheduler, etc.)
Have a strategy to organize / prioritize Microsoft Outlook
Comfortable commuting to Rancho Dominguez Monday through Friday.
Willingness to be cross-trained and assist various business functions.
Exceptional attention to detail and organizational skills.
Strong problem-solving abilities and excellent listening skills.
MS office suite: Outlook, Excel, PowerPoint, etc.
