Overview
We are seeking a highly organized Customer Service / Office Administration Manager to support day to day operations within a facilities and utilities environment. This role serves as a central point of contact for building related requests, vendor coordination, and administrative support, while ensuring work orders, contracts, and documentation are handled accurately and efficiently.
The ideal candidate will come from a facilities, property management, or utilities background (e.g., CBRE, JLL, Cushman & Wakefield) and is comfortable working in a fast paced, operationally focused onsite setting.
Key Responsibilities
Customer Service & Operational Support
• Serve as the primary point of contact for incoming customer service calls and requests related to building operations.
• Support multiple buildings at the center, coordinating with vendors and maintenance teams for repairs and ongoing facility needs.
• Respond to and appropriately route urgent or critical calls, including potential emergency or 911 related situations, following established protocols.
• Partner closely with an onsite Lead who provides guidance and escalation support.
Facilities & Maintenance Coordination
• Support maintenance and facilities focused activities, including tracking issues, coordinating service, and following up on completion.
• Review, process, and approve work orders (WOs) in alignment with contract terms and internal guidelines.
Contract & Compliance Support
• Review contracts to understand scope of work, limitations, and service boundaries.
• Ensure vendors and internal teams operate within contractual guidelines.
• Assist with basic contract tracking and compliance support as needed.

Required Skills & Experience
Required Qualifications (Must Haves)
• 1–3 years of experience in an office administration, customer service, or facilities support role.
• Prior experience in a facilities, utilities, or property management environment (CBRE, JLL, Cushman & Wakefield, or similar strongly preferred).
• Strong working knowledge of a Windows based environment.
• Experience reviewing contracts with an understanding of:
o Scope of work
o What is in contract vs. out of contract
o Service limitations and approvals
• Strong organizational skills with the ability to manage paperwork, processes, and multiple priorities.
• Clear, professional communication skills for interacting with vendors, internal teams, and emergency contacts.
