Job Description

The Receptionist is responsible for supporting the day-to-day coordination and activities related to receiving, logging and distributing mail, parcels and packages. The role will greet and register visitors, assist with ordering and tracking new employee swag, office supplies, snack/coffee and janitorial supplies. The Receptionist will report directly to the respective site Facilities Manager.

* Responsibilities and Duties

- This role is required to work onsite Monday-Friday 8am-5pm

- Answer and direct incoming calls

- Receive, sort, and deliver U.S. mail and small parcels packages to recipients

- Sign for all incoming deliveries (parcels and freight)

- Log deliveries and notify recipient for pick-up

- Greet and help register visitors via the Envoy app on the lobby I-pad

- Receive and sign catering orders and ensure they go to the correct room for set-ups

- Track inventory and order supplies for: office supplies, coffee and snacks, janitorial supplies, etc.

- Support large meetings and events by assisting with preparation, set-up, and clean-up

- Other duties as assigned

Required Skills & Experience

- High school diploma

- Associates degree preferred

- A minimum of 0-3 years' experience providing administrative support (an equivalent combination of education and experience may be considered)

- Willingness to work outside of scope to support teams when necessary

- Skilled in Facilities, Property Management and or Construction preferred

- Experience working with and managing onsite vendors

- Customer Service oriented

- Excellent verbal and written communication skills

- Proactive delivery of communication and follow up

- Excellent organizational skills and attention to detail

- Must have the ability to independently prioritize and accomplish work within time constraints

- Self-motivated and forward-thinking personality
