Job Description
Seeking a polished, senior Executive Assistant to directly support the COO. This person will act as a true right-hand—owning high-level administrative operations, preparing executive materials, and interfacing with a Board of Directors. This role requires extreme attention to detail, strong writing skills, and the ability to anticipate needs in a fast-paced, high-visibility environment.

Required Skills & Experience
- 5+ years as an Executive Assistant (supporting senior leadership)
- Experience supporting or interacting with a Board of Directors
- Strong presentation-building skills (PowerPoint — no heavy AI reliance)
- Proven experience with meeting coordination, minutes, and executive-level documentation
- Background in project coordination and/or event support
- Extremely detail-oriented (grammar, formatting, accuracy are critical)
- Proactive — anticipates needs, stays a step ahead of leadership
- Strong written communication (content goes to high-profile stakeholders)
- Organized and able to manage multiple priorities independently
- Professional, polished, and comfortable working with executives
Nice to Have Skills & Experience
- Manage COO calendar, scheduling, and executive communications
- Prepare presentations, reports, and materials for executive and board-level audiences
- Coordinate quarterly Board/Committee meetings (agenda, materials, logistics, virtual setup via Teams, etc.)
- Attend meetings and take detailed, error-free meeting minutes
- Track and follow up on action items from leadership and board meetings
- Draft and manage professional email correspondence on behalf of the COO
- Support internal projects across IT, communications, benefits, and operations
- Coordinate events (including annual Health Fairs in LA + NY)
- Maintain executive records, files, and document organization (SharePoint)
- Handle incoming calls and communications with professionalism and discretion
