Insight Global is assisting a client in identifying a highly resourceful and proactive Office Operations & Executive Assistant for a growing windows and doors company servicing the Southern California area. This role is ideal for someone who thrives in a dynamic, fast-paced environment and has experience wearing many hatsparticularly in small businesses or startups. The successful candidate will serve as the right hand to the company president, ensuring smooth day-to-day office operations while also managing administrative and executive support tasks. This person will be expected to take initiative, solve problems independently, and help streamline communication and scheduling for the president, who is often in the field.
Key Responsibilities:
Manage the presidents Outlook calendar and inbox: prioritize tasks, respond to emails, and flag urgent matters.
Provide daily briefings on schedule, priorities, and key communications.
Conduct morning check-ins to align on goals, tasks, and project updates.
Support the president with logistics and coordination while he is on-site with customers.
Travel 45 times per month to nearby locations such as Santa Barbara, Malibu, and Manhattan Beach.
Maintain smooth office operations: coordinate with warehouse, accounting, sales, and customer service teams.
Take ownership of documentation, reporting, and internal communications.
Answer phones and assist with cross-functional support and training as needed.
Identify inefficiencies and propose solutions to improve workflows and processes.

3+ years of experience supporting executive leadership or managing office operations.
Demonstrated ability to work independently and figure things out with minimal direction.
Strong organizational and multitasking skills with exceptional attention to detail.
Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, etc.).
Comfortable commuting to Rancho Dominguez Monday through Friday.
Willingness to be cross-trained and support various business functions.
Excellent communication, problem-solving, and listening skills.
Experience supporting executive-level leadership in a small business or startup environment.
Familiarity with the construction or general contracting industry.
Bachelors degree
Proven track record of being a go-to person in a fast-paced, hands-on work culture.
