Job Description

Insight global is looking for an Executive Operations Assistant to join the team on-site for a Construction and Engineering company in the Phoenix, AZ area. As the face of the company some duties will include the greeting/ introduction of candidates that are filling out applications, interacting weekly with workers on-site, communicating with internal employees on a daily basis, and always possessing demeanor. This person will be directly responsible for overseeing and organizing the work calendar and schedule of the COO at this company. This will include scheduling meetings, lunches, accounting for travel time around Phoenix, fielding emails/calendar invites, and understanding the priority of certain calendar events within Microsoft Outlook and Teams. Alongside this, they will also be responsible for the organization and execution of company events. Events will occur quarterly, weekly, and monthly where they will need to organize logistics, procure catering, and will be responsible for setting up the event. With the organization of events this person will also need to be willing and able to drive across the Phoenix metropolitan area to meet with the team and set up events. Additionally, this person will also be responsible for certain document control and updating and distributing certain reports. Overall, this person will need to possess exceptional organizational skills, be self-sufficient, willing to grow and learn, and fit into the culture of the company.

Required Skills & Experience

- Must be able to organize and maintain a busy calendar/schedule for executive leadership

- Experience using Microsoft suite such as Excel, Teams, and Outlook to organize and maintain a schedule

- Must be open to direction and willing to grow into the role

-Must be willing to be in a client facing role and willing to interact with various levels of leadership and staff of the company

-Comfortable with document control and the distribution of reports company wide
