Job Description

We are seeking a highly organized and professional Office Manager to provide comprehensive administrative support to a client of ours in Scottsdale, AZ team while ensuring the smooth and efficient operation of the office. This position will oversee daily operations, ensuring departmental objectives are being achieved. This role involves planning, organizing, and leading the team to meet goals and improve overall productivity and efficiency.

Responsibilities:
- Oversee daily office operations and workflow
- Maintain customer and vendor records using our CRM and inventory management systems
- Create packing slips, invoices and purchase orders in Fishbowl
- Work with our warehouse team to assist with managing shipments and deliveries
- Maintain organized systems for document management and follow-up on outstanding items
- Coordinate tradeshows and travel for the sales department
- Monitor and replenish office supplies and maintain inventory records
- Ensure office procedures and standards are followed and maintained
- Track ongoing tasks and projects sending the team reminders and assisting with resolving roadblocks
- Assist management with delegating tasks to the appropriate team members
- Develop and implement strategies to improve team performance
- Communicate goals, updates, and other important information to team members and leadership
- Assist the sales department with quotes, vendor orders, and shipping costs
- Complete monthly inventory of products and marketing materials
- Assist with domestic shipping tasks such as sending tracking, and updating systems with logistics details
- Email vendors professionally for pricing, lead times, and freight details
- Maintain and organize office files, records, and documentation

Required Skills & Experience

- Advanced computer skills including Office365, MS Word, Excel, PowerPoint, Outlook, CRM and proprietary inventory management software
- Quick learner with aptitude for new systems and programs
- Exceptional organizational and time-management skills with the ability to prioritize multiple projects in a deadline-driven environment
- Professional communication skills, both written and verbal
- Demonstrated leadership skills with an aptitude and willingness to effectively train others
- Demonstrated initiative and problem-solving ability with minimal supervision, knowing when to seek clarification and lead by example.
- 60 WPM typing speed required
- 5+ years related experience including at least 2 years in a management and/or supervisory role
