Job Description
We are seeking a detail-oriented and proactive Project Coordinator to manage all pre-deployment activities for our upcoming go-live implementation. This role will be pivotal in ensuring that all sites are fully prepared for the deployment, with accurate information meticulously tracked and communicated effectively. The ideal candidate will be organized, communicative, and capable of handling multiple tasks simultaneously.
Key Responsibilities:
• Site Information Gathering: Collect and verify all necessary site information, ensuring accuracy and completeness.
• Project Deployment Explanation: Clearly communicate and explain the upcoming project deployment to site contacts, and act as a technical liaison to effectively communicate deployment requirements.
• Data Input: Input and maintain site information in project trackers, regularly auditing data inputs for accuracy and timely updates.
• Weekly Progress Check-In Calls: Schedule, send invites for, and lead weekly progress check-in calls with relevant stakeholders to review project status, troubleshoot common issues and address any concerns.
• Schedule Creation: Develop and manage detailed schedules based on the gathered site information, ensuring all pre-deployment tasks are completed on time.
• Issue Reporting: Proactively monitor for issues, perform initial analysis and troubleshooting, and report any large issues or concerns to the project management team, escalating problems as necessary to ensure timely resolution.
• Stakeholder Communication: Serve as the primary point of contact for site-related queries and updates, maintaining clear and consistent communication.

Required Skills & Experience
• Proven experience in project coordination, preferably in a technical or software deployment-focused environment.
• Strong organizational skills with exceptional attention to detail.
• Excellent communication and interpersonal skills, experience with Microsoft Teams.
• Proficient in Microsoft Office Suite, particularly Excel, PowerPoint and Project Management tools.
• Ability to manage multiple priorities and work under tight deadlines.
• Problem-solving skills and ability to work independently as well as part of a team.
Nice to Have Skills & Experience
• Experience in large-scale IT or software deployment projects.
• Proficiency with advanced project management and data tools, such as Smartsheet or advanced Excel functions (e.g., pivot tables, slicers, conditional formatting)
• Proven ability to manage internal and external stakeholder relationships, including technical teams and vendors.
