Job Description

Job Overview
This role is responsible for coordinating service and installation operations, ensuring smooth communication between customers, technicians, and internal teams. Key responsibilities include scheduling appointments, dispatching technicians, managing billing and contract paperwork, and supporting warehouse and office functions.

Day-to-Day Responsibilities
• Schedule and dispatch technicians for service and installation tasks.
• Create and manage work orders; update customers and follow up with technicians.
• Review and close work orders, ensuring all notes and pending items are addressed.
• Handle contract and quality control paperwork.
• Coordinate subcontractor scheduling and technician documentation.
• Maintain appointment calendars and order necessary materials/equipment.
• Receive and distribute materials/equipment to technicians.
• Generate daily reports and assist with scheduling, customer notifications, and equipment procurement.
• Conduct physical inventory and act as liaison between Sales, Project Managers, and technicians.
• Perform other duties as assigned

Required Skills & Experience

Required Skillset
• Education & Experience: High School Diploma or GED; 3+ years of administrative experience in sales or service industries; ERP system familiarity preferred.
• Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint); data analysis and interpretation.
• Soft Skills: Strong decision-making, organization, attention to detail, and communication skills; ability to escalate issues appropriately.
• Operational Skills: Dispatching, scheduling, and paperwork management.
• Physical Requirements: Ability to sit, stand, walk, lift up to 25 lbs, and perform tasks requiring close and distance vision.
• Work Environment: Standard office setting with moderate noise levels.
