Job Description
We are seeking a high-performing professional at an Associate Manager to Manager level to provide short-term capacity support to the AMER Society Relations team during a period of elevated delivery and strategic transition. This 7 to 8-month engagement will allow the team to stabilize administrative workload, improve follow-through discipline, and strengthen cross-functional coordination while longer-term organizational design decisions are finalized.
The contingent worker will function as an embedded team member supporting two senior relationship managers. The primary objective is to increase strategic capacity by absorbing administrative coordination, structured follow-ups, portfolio tracking, and cross-functional execution tasks.
Scope of Work
1. Meeting Follow-Up & Action Tracking
- Track and manage action items resulting from meetings with society boards and staff.
- Coordinate across internal teams (Membership, Marketing, Education, Events, Advocacy, etc.) to gather information and ensure timely responses.
- Draft follow-up communications and status updates for review.
- Maintain structured tracking dashboards for open items, deadlines, and escalations.
2. Society Administrative Coordination
- Support ongoing society inquiries requiring cross-functional input and resolution.
- Assist with coordination of co-hosted events (speaker logistics, content alignment, internal approvals).
- Monitor recurring requests and identify opportunities for process simplification.
- Provide general coordination support to maintain responsiveness and service consistency.
3. Business Planning & Operating Standards (BPOS) Support
- Track submission timelines and documentation requirements.
- Send reminders and coordinate follow-ups with societies.
- Organize materials for consultations and maintain portfolio visibility dashboards.
- Escalate compliance or risk issues as appropriate.
4. Presentation & Materials Development Support
- Compile data and inputs for strategic planning decks, board orientation materials, and executive summaries.
- Support development of structured post-meeting summaries and internal briefings.
- Leverage AI tools, where appropriate, to draft meeting summaries, synthesize consultation notes, enhance slide development, and improve consistency of executive-ready materials.
5. Data & Reporting Support
- Compile survey results (e.g., NPS, engagement surveys) into structured summaries.
- Prepare basic dashboards highlighting trends, risks, and opportunities.
- Improve documentation consistency across portfolio tracking tools.
6. Event & Training Support
- Provide coordination support for Society Leadership Conferences (SLCs) and live society staff training.
- Assist with travel logistics, communications, material preparation, and follow-up tracking.
- Support documentation of learnings and action items from live engagements.
