Job Description

The Assistant Controller supports the Controller in overseeing the accounting operations of a Real Estate Development company, property leasing and management company, ensuring accurate financial reporting, regulatory compliance, and strong internal controls across multiple properties, entities, and business lines. This role is responsible for day-to-day accounting operations, month-end close, financial statement preparation, and collaboration with property management, leasing, and operations teams to ensure financial accuracy and operational alignment.

The Assistant Controller plays a critical role in scaling accounting processes, supporting audits, improving systems, and maintaining financial integrity across residential, commercial, and mixed-use portfolios.

Key Responsibilities
Financial Reporting & Close Process
• Manage and execute the monthly, quarterly, and annual close process for multiple properties and legal entities
• Prepare and review monthly financial statements, including balance sheets, income statements, cash flow reports, and variance analyses across multiple financial entities.
• Ensure accurate intercompany transactions, eliminations, and allocations
• Reconcile general ledger accounts, including cash, prepaid expenses, accruals, security deposits, and reserves
• Review journal entries and supporting documentation for accuracy and compliance
Real Estate, Construction, Property & Leasing Accounting
• Oversee accounting for job costing, rental income, CAM charges, late fees, concessions, and tenant reimbursements
• Ensure proper recognition of revenue in accordance with lease agreements and accounting standards
• Review and reconcile tenant ledgers, rent rolls, and occupancy reports
• Coordinate with leasing and property management teams to resolve billing tenant account discrepancies and posting issues
• Support accounting related to new property acquisitions, dispositions, and lease-ups
Accounts Payable, Receivable & Cash Management
• Oversee Supports accounts payable processes department, including invoice coding, approvals, and vendor payments
• Review accounts receivable aging, delinquency reports, collections, and tenant balances
• Monitor cash balances and assist with cash flow forecasting
• Reconcile operating accounts, trust accounts, and security deposit accounts
Budgeting & Forecasting
• Assist in the preparation of annual operating budgets and capital budgets for properties and management entities
• Track actual performance against budget and provide variance explanations
• Support forecasting and financial modeling for new developments, property improvements, and operational changes
Compliance, Controls & Audit Support
• Maintain and enforce internal accounting controls and standard operating procedures
• Ensure compliance with GAAP, lender requirements, and regulatory standards
• Support internal and external audits, including preparation of schedules and documentation
• Assist with tax preparation support, including coordination with external tax advisors
• Ensure compliance with state and local requirements related to property management and escrow accounts
Systems & Process Improvement
• Assist with the implementation, optimization, and maintenance of property management and accounting systems (e.g., Yardi, AppFolio, MRI, RealPage, or similar)
• Identify opportunities to improve efficiency, accuracy, and reporting capabilities
• Develop and document accounting procedures and workflows
• Support automation initiatives related to reporting, reconciliations, and data validation
Leadership & Collaboration
• Supervise and mentor accounting staff, including property accountants and AP/AR team members
• Serve as a financial partner to property managers, regional managers, and operations leadership
• Provide training and guidance on accounting policies, procedures, and best practices
• Act as backup to the Controller as needed

Required Skills & Experience

Required Qualifications
• Bachelor’s degree in Accounting, Finance, or related field
• 5–8+ years of progressive accounting experience, preferably within property management, leasing, real estate, or multi-entity environments
• Strong knowledge of general ledger accounting, financial reporting, and month-end close
• Experience working with property management accounting systems
• Advanced proficiency in Microsoft Excel (pivot tables, lookups, financial analysis)
• Strong attention to detail with the ability to manage multiple deadlines

Nice to Have Skills & Experience

Preferred Qualifications
• CPA or CPA-eligible strongly preferred
• Experience with multi-state or multi-property portfolios
• Familiarity with CAM reconciliations, job cost account, reserve accounting, and lender reporting
• Experience supporting audits and tax filings
• Background in both residential and commercial leasing environments
